Domain Email – Use Gmail As Your All-In-One Email Account

One of my pet peeves about running multiple online businesses is domain email maintenance of multiple accounts. I thought I was in heaven when I finally started using IMAP. With IMAP no matter which one of my “configured computers” I used I was seeing updated and synchronized email. Then one day it occurred to me that maintaining a local domain email client on multiple machines was great as long as I was around my computers. So in an effort to simplify my communications and have it literally “follow me” no matter where I went and no matter what computer I was on I turned to Gmail.

Now I manage 24 separate domain email accounts from one universal Gmail account.

As far as the world knows there’s no difference even the return addresses are proper and unique to each email account. If you have multiple domain email accounts you will not believe the time saving aspect of this move.

There are 4 easy steps to the process.

1. Forward your domain email accounts to your Gmail account. Most webmail accounts have forwarding. If you use a host you will need to go to your Cpanel and set your domain email to forward to your Gmail account there. If you have no idea how to access your Cpanel call your host tech support.
2. Go to your Gmail account and go to Settings>Accounts and under the heading “When I receive a message sent to one of my addresses:” select “Reply from the same address the message was sent to” Once you’ve done that click “Add another email address” fill in the name you want to appear on the email account and then the full email address. then click “Next Step” In the next screen select “Send Verification” then go to your regular email client and look for the Gmail confirmation. Respond to the confirmation by clicking on the confirmation link.

At this point that particular email address will always go to your Gmail account and unless you do the two final steps you’ll just have a huge list of unorganized emails.

These next two steps are actually very cool and makes Gmail a VERY powerful universal email client.

3. Select “Edit Labels” and add a new label. In my case I created a label for my source-pro admin mail and I used a short title like SP – Admin. You need to create a Label for each of your domain email addresses you’re forwarding to Gmail.

4.This step is critical and can be the difference between having an unorganized ton of emails or a perfectly organized domain email system.

Click “Create a Filter” and in the “To” box put in the domain email address you want organized. Then click “Next Step” and in the next screen select “Apply the label:” box, also, you’ll need to select the label that corresponds to the domain email address. Then click “Create Filter” and at this point you’re good to go. Every time Gmail receives an email addressed to that address it’s labeled and tracked. Set one your email addresses up and you’ll see what I mean. the great part is you can set Gmail to handle as many domain email addresses as you like.
